How to organize your contacts with funnels
Create a funnel with stages, attach it to an agent so it classifies each contact during the conversation, and follow your leads on the board.
Last updated 20 days ago
A funnel shows where each contact is in your sales process, for example New lead, Interested and Booked. You create the stages once, attach the funnel to an agent, and the agent places each contact in the right stage, as the conversation goes on.
Step 1: Open Funnels
In the left menu, open Agents submenu, then Funnels. You'll see your funnels with their stages, how many leads they have and how many agents use them.

Step 2: Create the funnel and its stages
Click Create funnel and fill in:
Funnel name: for example "Sales Funnel".
Funnel stages: for each stage, choose a color, write its name and describe what it means, for example "Asked about prices, services or availability". The agent uses this description to recognize the stage, so make it a clear criteria. Order the stages from the first contact to the close.

Click Add stage to add more. The Preview shows how the stage tags will look. Click Save.

Step 3: Attach the funnel to an agent
Open the agent and go to Main, then Contact settings.

At the end, in Funnel, choose the funnel. Below it you'll see its stages. Click Update to save. To stop using a funnel, choose No funnel.

From now on, the agent places each contact in the stage that matches the conversation and moves it as the conversation advances. The agent never tells the contact which stage they're in.
Step 4: Follow your leads on the board
In Funnels, click a funnel to open its board. At the top you'll see how many leads each stage has, and below, one column per stage with its leads.

Choose Today, 7 days, 30 days or All to see the leads by when their stage was set.
If the agent placed a lead in the wrong stage, drag its card to the right column by hand.
To change the stages, click Edit stages.
You can also see and change a contact's stage in Contacts, in the Funnel stage column.
Technical reference
Stages: from 1 to 8 per funnel, each with a name, a color and a description.
One funnel per agent: each agent uses one funnel or none. A funnel can be used by several agents.
Several funnels per contact: a contact who talks with two agents can be registered in each of their funnels, with its corresponding stage in each.
Manual changes: after you move a lead by hand, the agent keeps classifying it in the next messages and may move it again.
Deleting a stage: the contacts clasified in it stay in Contacts, without a stage in that funnel.
Deleting a funnel: from the funnel's ⋯ menu. It asks for confirmation and is removed from the agents that used it.
Who sees them: your agency's funnels are only for your agency, and each sub-account has its own.
Common problems
A new contact doesn't appear on the board
A new contact doesn't appear on the board
A contact appears on the board when the agent places them in a stage, which happens when the conversation matches one of the stage descriptions previously written. Until then, the contact is only in Contacts. Check that the agent has the funnel in Contact settings and that the first stage describes how a new contact usually writes.
The agent places contacts in the wrong stage
The agent places contacts in the wrong stage
Make the descriptions of the stages clearer and more different from each other, with examples of what the contact says in each one. Then drag the cards that are wrong to their stage.
I don't see the leads I expect
I don't see the leads I expect
Check the range at the top of the board. With Today or 7 days you only see the leads whose stage was set in that time. Choose All to see every lead.
Done
Your agent is able to classify your contacts by stage. Open the board to see how your leads move.
