How to schedule automations for your agent

Make your agent run a task on its own at the date and time you choose, with its own instructions and tools, even when nobody is chatting.

Last updated 10 days ago

A scheduled automation is a task your agent does on its own at the date and time you choose, even when nobody is chatting with it. For example, every evening it can check tomorrow's appointments in Google Calendar and email you a summary.

Before you start: Connect the apps the automation will use in your agent's Integrations. In this example, Google Calendar and Gmail. See How to connect your agent to apps with MCP integrations.

Step 1: Open Scheduled automations

In the left menu, open Agents and select your agent. Open Automations and go to the Scheduled tab. You'll see how many automations the agent has out of 5, the next execution, and the executions with errors.

Click Create automation.

Step 2: Define the details

  • Automation Name: a name you can recognize, for example "Daily appointment summary".

  • Description (Optional): a short line about what it does.

  • Automation Prompt: the instructions for the task. Say what to check, what to do with it, and what to send to whom. For example: "Check tomorrow's appointments in Google Calendar. Email owner@yourbusiness.com a summary with the time, client and service of each appointment through Gmail."

Important: The automation doesn't use your agent's main prompt. It runs only with the instructions you write here. Check the box that says you understand it, and click Schedule.

Step 3: Choose when it runs

  • Recurring: choose the Frequency (Every 15 Min, Every 30 Min, Every Hour, Every Day, Every Week, Every Month or Custom (Cron)) and the Time. Leave Starts (Optional) empty to start now.

  • One time: choose the Date And Time it runs.

Below you'll see the timezone it uses and the Next execution.

Click Tools.

Step 4: Choose the tools

Click Manage tools and select only what the automation needs:

  • Integrations (MCP): the apps already connected to your agent. To use it in the automation, click an app and check the actions it can use, for example List Events in Google Calendar and Send Email in Gmail.

  • Custom tools: your Toolkits, HTTP tools and MCP servers.

Click Done. The tools appear in the current step, with the number of actions of each one.

Click Review.

Step 5: Review and create it

Check the summary. Each section has Edit to go back and change its configuration. Check the box that confirms everything is correct, and choose:

  • Create and activate: the automation starts running on its schedule.

  • Save as paused: it's saved but doesn't run until you activate it.

Step 6: Manage your automations

The automation appears in Scheduled with its schedule, its next execution and its status. Use the ⋮ menu on the row to edit, pause, duplicate or delete it.

Step 7: Check the results in Execution history

Every run is saved in Execution history, which you’ll find inside the Agents submenu. To see only automations’ executions, choose Automation in the sources filter.

Technical reference

  • Limit: up to 5 automations per agent, and up to 50 tools per automation.

  • Its own instructions: the automation runs only with its prompt. It doesn't affect how your agent answers in conversations.

  • Its own tools: the automation uses only the tools you choose in it. They are used independently from the agent's conversations, and your agent's tools are used independently from the automation.

  • Timezone: the automation uses the agent's timezone. You can't change it per automation. To modify it, see How to configure your agent's model and behavior.

  • Frequency: the shortest frequency is every 15 minutes. With Every Month you choose a day from 1 to 28. With Custom (Cron), write 5 fields: minute, hour, day of the month, month and day of the week.

  • Cost: each run is billed as a regular agent execution.

  • Retries: if a run fails, it's retried automatically up to 3 times.

Common problems

Only the apps connected to this agent appear. Connect the app in the agent's Integrations,, and open Manage tools again.

  • Open Execution history and check the run to see the error.

  • Check that the apps it uses are still connected. If an authorization expired, connect the app again in the agent's Integrations.

  • Check that the actions the prompt references are checked in Manage tools.

Check the agent's Timezone: open Main and, in Prompt, click Settings. The automation always uses that timezone.

The agent probably has 5 already. Delete one you don't need to create a new one.

  • If you reconnected WhatsApp Business, open the automation and save it again so it uses the new connection.

  • WhatsApp only allows free messages within 24 hours of the last message sent by the user with whom the system is interacting. For reminders, check Send template message in Manage tools and use an approved template of your WhatsApp Business account.

Done

Your agent performs tasks autonomously. After the first run, open Execution history to check the result.
